Dear ÎÞÂë×¨Çø faculty and staff,
As we continue our rapid transition from SAP to Workday, we have developed a comprehensive plan to guide this process.
Please see key dates below and review the attached documents that outline important information that all employees will need to know.
- April 15 — New vendor transition: After April 15, we will be unable to add new vendors to SAP for FY26 purchases. Existing vendors will not be impacted by this date.
- New vendors may be requested in Workday beginning July 1.
- April 30 — FY26 purchase requisitions: After April 30, we will turn off the ability to generate new purchase requisitions for FY26. Please know this is earlier than our normal purchase requisition deadline.
- June 15 — FY27 purchase requisitions: These will be accepted in SAP until June 15. FY27 purchase requisitions will be generated in Workday beginning July 1.
- May 23 – June 6 — Employee self-service blackout: Employees will not be able to make changes to their information (address, banking, etc.) during this blackout.
- Beginning June 7, changes can be made in Workday.
- June 5 — Goods receipt deadline: Existing purchase requisitions that require certification of a goods receipt must be completed by June 5, and the ability to accept delivery for FY26 will be turned off. Goods received after June 5 will be allocated to FY27 budgets unless they are material to the university's financial statements. This does NOT impact services contracts.
- Goods receipts will be available beginning July 1 in Workday.

To ensure consistency and allow us to provide timely updates or broader communication to campus when needed, we ask that all inquiries be routed through these central inboxes.
